This page is the plain-English summary of the Booking Agreement between Monsta Media Mayfair Limited (trading as Party Pixel Photo, Company No. 16607933, registered in England & Wales) and the Client. Paying the booking fee constitutes acceptance of the terms below. The full fillable PDF is sent with every booking confirmation — this page mirrors it clause for clause.

1. Booking & delivery commitments

  • · Hero preview: 10+ images within 24 hours of the event ending.
  • · Full gallery: 3–7 working days (or as specified on page 2 of your signed agreement).
  • · Two styles per image: Signature colour and Black & White, both finished in-house.
  • · Guaranteed minimum image count: specified per package on page 2 — this is a minimum, not a cap.
  • · RAW files: not supplied. The price includes one light round of tweaks; extensive re-edits may be quoted separately.

2. Fees & payment

  • · Booking fee (deposit): from £97, credited against the total. The date is held once the fee clears.
  • · Balance: invoiced on the day of the event, payable within 3 days by bank transfer.
  • · Full payment up front: may be settled at time of booking if preferred.
  • · Buy-now-pay-later: Klarna and Clearpay supported — the full amount is credited via Stripe at the time of booking.
  • · Overtime: £175 per hour (or part of an hour) for coverage beyond the booked package.
  • · Late payment (business clients): statutory interest at 8% above the Bank of England base rate, plus reasonable recovery costs, may be charged on overdue invoices under the Late Payment of Commercial Debts (Interest) Act 1998.

3. Cancellation & rescheduling

Cancellation charges scale with notice. The further out you tell us, the lower the charge — because the further out we know, the more likely we are to re-book the date.

Rescheduling: we cannot guarantee a new date will be available. 7+ days' notice allows rescheduling at no charge subject to our availability; inside 7 days, the request is treated as a cancellation under the table above.

Consumer cooling-off (private clients): Under the Consumer Contracts Regulations 2013, private (non-business) clients have 14 days from booking to cancel for a full refund — provided work has not yet commenced or been fully performed.

4. Commercial rights & copyright

  • · Copyright in every image is retained by the photographer.
  • · Licence: upon payment in full, the client receives a worldwide, perpetual, non-exclusive, royalty-free licence to use the delivered images for brand promotion, events, social media, press and advertising.
  • · Sub-licensing is permitted to group companies, agencies and sponsors connected to the brief.
  • · Restrictions: no resale of the images as generic stock; no defamatory or unlawful use.
  • · Portfolio use: Party Pixel may use a selection of images for its own marketing, except where the client specifically objects in writing (we expect to be told to keep private bookings private, and we do).

5. Liability & insurance

  • · Public liability insurance up to £5,000,000 — certificate available on request.
  • · Liability cap: our total liability under or in connection with this agreement is capped at the total fees paid or payable.
  • · Exclusions: we are not liable for indirect or consequential loss, including loss of profit, business or reputation.
  • · Indemnity: the client indemnifies the supplier for third-party claims arising from the client's failure to secure necessary permissions, location consents or release forms, or from misuse of the delivered images.

6. Force majeure

If the event is interrupted or prevented by causes beyond either party's reasonable control (illness with reasonable notice, venue closure, extreme weather, transport disruption, an act of public authority and similar events), the supplier will refund sums paid less any costs unavoidably incurred up to that point. Neither side is liable to the other for the disruption itself.

7. Governance & jurisdiction

  • · Governing law: the laws of England & Wales.
  • · Dispute resolution: any dispute is to be addressed via good-faith conversation first; mediation is encouraged before litigation. If unresolved, the parties may pursue resolution through the courts of England & Wales.

8. Data protection, termination & safe set

  • · Data protection: Party Pixel is an ICO-registered data controller. Project files (RAW backups, edited masters, gallery copies) are retained for 12 months after delivery — this is operational backup, not a permanent archive. See our privacy policy for the full statement.
  • · Termination: either party may terminate this agreement for a material breach not remedied within 14 days of written notice, or for persistent non-payment.
  • · Safe set: the supplier may pause or stop work if our team is subject to harassment, abuse or genuine safety concerns at the location. Fees remain payable in full in that situation.
