Who books multi-day coverage
| Client | What they need from the photos |
|---|---|
| Event organisers | Proof of scale and atmosphere for next year's sales deck, sponsor reports and the post-show wrap-up |
| Exhibitors | Their stand busy with visitors, demos and meetings, plus team portraits, for ROI reports and LinkedIn |
| Sponsors & partners | Every branded moment: logo walls, sponsored stages, hosted sessions and VIP areas |
| Event & PR agencies | A reliable crew that works under their producer and brief, often white-label for their client |
| In-house marketing & media teams | Daily content for socials, press and internal comms, matched to brand guidelines |
| Associations & membership bodies | Annual congress coverage: speakers, members, awards evenings and committee photos |

| Event | Typical length | Usual crew |
|---|---|---|
| Trade show or expo | 2–4 show days, plus an optional build day | 1–2 photographers |
| Conference or summit | 2–3 days, often with an evening reception | 1 photographer, +1 for parallel tracks |
| Festival or weekend event | 2–3 long days | Photographer + videographer |
| Roadshow or tour | Several dates and cities | Same lead photographer for consistency |
| Brand residency or pop-up | A week or more | Day rotations, one editor |
| Company offsite or kick-off | 2–3 days, including team activities | 1 photographer |
Every multi-day booking is planned to your agenda, so it's quoted rather than published. Tailored quote within 24h.
How a multi-day booking works
- A short scoping call, then a review of your agenda and floor plan
- A day-by-day coverage plan: different priorities each day, not the same shots three times
- Paperwork sorted: quote, booking agreement, insurance certificate, RAMS and supplier forms
- Optional build day for empty-hall, stand-build and set-up shots
- A morning check-in with your team each show day, so priorities can change
- Daily selects every evening, then the full edited gallery after the show
Delivery while the show is live
On a multi-day event, day one's photos are most valuable on day two. We can send a curated set of selects each evening, ready for socials, press releases and sponsor updates, and arrange same-day uploads for key moments when it's agreed in advance. The full edited gallery follows after the show, organised by day, stage and session.
- Daily selects each evening
- Same-day uploads for key moments, on request
- Folders by day, stage, session and sponsor
- Landscape and portrait crops for social
- Separate exhibitor and sponsor folders, ready to share
- One named contact for every delivery
Exhibitor and stand photography
Exhibitors spend heavily on a stand and need proof it worked. We photograph stands before doors open, at peak footfall, during demos and meetings, and run quick team portraits on the stand. Organisers can also offer stand photography to their exhibitors as an extra service.
Working with agencies and media teams
- White-label on request: your agency's name on the comms, ours nowhere
- NDAs, embargoes and client confidentiality respected
- We work to your producer, shot list and brand guidelines
- Photography and video from one crew, briefed together
- Consistent editing across every day and every photographer
- Full commercial rights for your client, with no licence fees
Crew and hours per day
| Set-up | Hours per day | Crew |
|---|---|---|
| Single-track conference day | 8–10 hours | 1 photographer |
| Expo hall with stands and a main stage | 8–12 hours | 1–2 photographers |
| Parallel stages or breakout tracks | Matched to the agenda | 1 photographer per stage |
| Show day followed by an awards dinner | Up to 12 hours | Extended day or an extra photographer |
| Headshot station for delegates | Set hours each day | Dedicated photographer |
Planning checklist for your show
- Floor plan with stand numbers and stage names
- Agenda with rooms, speakers and timings for each day
- Must-have VIPs, speakers, sponsors and exhibitors
- Contractor badges, load-in times and access routes
- Who receives the daily selects, and by what time
- Image usage for sponsors and exhibitors
- Brand guidelines and any embargoed announcements
Venues and travel
We plan for large London venues such as ExCeL London, Olympia London, the Business Design Centre and the QEII Centre, where suppliers often need badges, RAMS and an insurance certificate in advance. These are examples of venue types; their inclusion doesn't imply a partnership. There's no travel fee across London, Essex and the South East, and events elsewhere in the UK are quoted individually, including overnight stays.
What you receive
- 10 hero shots within 24 hours
- Full edited gallery in 3–7 working days
- Two finished styles per image: colour and black & white
- Full commercial rights included, in writing
- Private online gallery that's easy to share
- Every frame recorded to two cards as it's taken
Who's behind the camera
Party Pixel is a small collective led by Albert Arsene, with a vetted network of photographers and videographers. Briefing, direction and editing stay with the core team, so the finish is consistent whether we send one photographer or a full crew.
